Insight Recruitment Solutions is a recruitment business which provides work-finding services to its clients and work-seekers. We must process personal data (including sensitive personal data) so that it can provide these services – in doing so, we acts as a data controller.

This Privacy Notice explains what we do with your personal data, whether we are in the process of helping you find a job, continuing our relationship with you, providing you with a service, or you are visiting our website.

It describes how we collect, use and process your personal data, and how, in doing so, we comply with our legal obligations to you as a data controller. Your privacy is important to us, and we are committed to protecting and safeguarding your data privacy rights. Why do we have a privacy policy?

You may give your personal details to Insight Recruitment Solutions directly, such as on an application or registration form or via our website, or we may collect them from another source such as a job board. Under GDPR we must comply with certain regulations which are designed to ensure that any data you provide to us is processed with due care and attention.

What data do we collect and how do we use it?

Insight Recruitment Solutions collects personal data about you to help in the recruitment process. This data consists of information such as your name, address, e-mail address, telephone number, career history and education plus, where relevant, your nationality and basis for working in the UK as required by law.

Where necessary we will also collect a copy of your passport/identity card; Financial information (where we need to carry out financial background checks) and any other personal information you choose to tell us.

The personal data and sensitive personal data will be stored, processed, used and disclosed by us in the following ways:

  • Provide our recruitment services to you, whether you are a client, candidate or a user of our website
  • Enable you to submit your CV, to apply for specific jobs or update your employment preferences
  • To maintain our business relationship, where you are a user of our website, a client or candidate
  • Provide information on suitable job opportunities to people who register with us, to match your profile with suitable job vacancies and to assist us in finding a position that is most suitable for you
  • Answer your query
  • To fulfil contractual obligations with our clients

What legal grounds do we have to process your data?

Insight Recruitment Solutions will collect and process your personal data (which may include sensitive personal data) for the purposes of providing you with work-finding services. The legal bases we rely upon to offer these services to you include:

  • Legitimate interest – processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party, except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject
  • Contractual basis – processing is necessary in relation to a contract to which the individual has entered into or because the individual has asked for something to be done so they can enter into a contract

What is our legitimate Interest?

Where the Company has relied on a legitimate interest to process your personal data our legitimate interests is/are as follows:

  • The company is required to process personal data in order to provide work-finding services to individuals
  • The company is required to process personal data in order to provide relevant marketing material/industry insight / intelligence to individuals

Curriculum Vitae (“CV”)

You have the option of submitting your CV via our website, though Broadbean or by providing your CV to one of our consultants. By sending us your CV you are indicating your consent for Insight Recruitment Solutions to process your personal details in the manner described above.

You can update your CV at any time, simply by following the same procedure to submit a new CV, at which point your old CV will be deleted.

Who do we share your data with?

Where necessary we may pass data to third parties in order to facilitate the recruitment process, for example, sharing contact details to arrange interviews or process offer paperwork / contracts pertaining to future employment opportunities.

We will disclose personal information to our clients and suppliers where necessary and appropriate in connection with the provision of staffing services including temporary and permanent placements for accounting, administrative and financial purposes.

How long will we hold your information for?

We are required by law to hold your information for as long as is necessary to comply with our statutory and contractual obligations and in accordance with our legitimate interests as a data controller.

We will use reasonable endeavours to ensure that your personal data is maintained and up to date. However, you are under a duty to inform us of any and all changes to your personal data to ensure that it is up to date and we will update or delete your personal data accordingly.

Subject Access Request

You have the right to request a copy of the information we hold for you on our systems. In order to receive this information, we will need verification of your identity. Please note that we will not provide the following types of information in response to a data access request: Information about other people; Opinions given in confidence; Repeat requests or privileged information. Other types of information may also be exempt under data protection laws (e.g. data relating to the commission of offences or estimates of damages).

We may ask you to verify your identity and for more information about your request. We also have the right to charge an administrative fee for this service. Where we are legally permitted to do so, we may refuse your request and will give you reasons for doing so.

Data Removal

You also have the right to ask Insight Recruitment Solutions to stop using your information. However, if this involves a request for deletion of your file, please be aware that we may not be able to do so, particularly where your file also holds information about our clients or financial information that we need to keep for periods of up to six years, i.e. that relate to tax matters. In this instance, we will provide reasons for failing to do so.

We don’t collect much data about Suppliers, we simply collect enough to ensure that our relationship runs smoothly. We’ll collect the details for our contacts within your organisation, including names, telephone numbers, email addresses and bank details for payment purposes. We may also hold extra information that someone in your organisation has chosen to tell us.

How is your data safeguarded?

The security of your data is extremely important to us. Access to your personal data is only provided to our staff and third parties who help us to process data and, in order to help with the recruitment process, to prospective employers or customers.

How we use cookies
